NEWSLETTER COMMITTEE CHAIR

General Responsibilities:

¨        Solicit input from the general membership, IEEE-USA, or any relevant news source available.

¨        Communicate with the Fairbanks Subsection and the University of Alaska-Fairbanks Student Branch, always looking for announcements, news, or articles of interest.

¨        Attend all Section Executive Committee meetings and record any required announcements to be passed on to the general membership

¨        Coordinate with the Section Membership Chair to obtain updated mailing lists as required.

¨        Produce a monthly newsletter (sample attached) which involves compiling the above information, and editing as required.

¨        Coordinate with direct mailing services, as necessary, to ensure the timely mail-out of the newsletter to the general membership.

¨        Address questions and issues brought forward by the general membership, and resolve any to any mailing/delivery problems.  The newsletter editor should periodically poll the membership on delivery, content, and other information related.

¨        Coordinate with Section Webmaster to post the monthly newsletter on the website before the first Monday of each month

¨        Timeliness of the newsletter is of the utmost importance.    Articles for the newsletter should be received no later than the 1st of each month, and a final draft of the newsletter should be delivered to the direct mailing service no later 5th of each month.  Special events notifications may require earlier distribution.

 

Special Events:

Below is a listing of typical special events.  In many cases, articles will have to be run a month in advance, to provide timely notice, and call for participation.

Ø        January:        Announce new Section Officers & Chairs

Ø        February:      National Engineer’s Week

Ø        March:           Alaska Science & Engineering Fair

Ø        May:               Solicit nominations for Alaska Section Annual Awards

Ø        October/September:     Section Annual Awards Banquet: Announcement and RSVP request form

Ø        November:     Officer Election Ballot to be included in mail-out

Great Originals use MS Publisher, and they can import Publisher documents directly. We usually send them the Publisher file and an Excel database (simple listing from SAMIEEE query) and they take care of the rest. Once the newsletter is printed, they bring it to TNT (bulk mailer, see below) which is next door to them.
